Bozooq ERP — prototype review

Enquiry · Site visit · Estimation · Quotation · Job card · Execution · Profitability · Invoice · Job analysis

October 2026

How we approached it

Digitise the way Bozooq already works — not a collection of modules

The objective

Take the existing Bozooq process — enquiry, site visit, quotation, estimation, job card, execution, materials and labour, invoicing and job profitability — and put it into one connected system.

What we will show today

One actual Bozooq job moving through the system from beginning to end, in a working prototype built from our previous discussions and the material you shared with us.

Then the bigger picture

Where this operational core sits in the wider Bozooq ERP, what we still need to confirm with you, and the prototype itself at the end.

Bozooq ERP — prototype review

What we heard from Bozooq

"Everything is done on paper. It has to go on system."

Modern, cloud-based, simple. About five users, two with full control, role-based access.

Three core documents. Quotation, Job Card and Final Job Analysis.

Estimate before you quote. Materials from the product master, labour with overtime, other costs — expected cost, profit and margin.

Quotation versions never overwritten. V1, V2, V3 with digital approval and a client link to approve or negotiate.

The Job Card is the centre. Material issue and return, daily labour, other costs, progress, photos, on-hold.

Know the profit while the job runs. Estimated vs actual, live profitability with alerts, then invoice, payment and final analysis.

Supporting areas discussed: inventory, simple procurement, finance (Tally transition), HR and payroll, sales tracking, masters, reports, compliance.

Every entry moves the number

Material issued, labour hours, a gas cylinder — the actual cost and the projected margin update immediately.

Alerts in plain language

"At this spending rate the job will finish at 14.2% — below the 15% minimum." Cost ahead of progress, material over plan, hours over estimate.

Final job analysis

Expected vs actual by component, variance, profit and margin — the lesson for the next quotation.

Figures from the demo job in the prototype; the margin floor of 15% is a placeholder to confirm with Bozooq.

Three core documents

The documents Bozooq runs on, now connected

Quotation record showing versions V1 and V2, approvals and client responses

Quotation

Master-driven scope, out of scope, terms and payment terms. Salesperson and source. Versions V1 / V2 / V3 kept with approvals and client responses.

Job Card

Created from the LPO. Materials, labour, other costs, progress, photos, issues, inspection and completion all hang off it. Live cost and margin per job.

Final job analysis with expected vs actual by component

Final Job Analysis

Expected vs actual for materials, labour and other costs. Variance, profit and margin, and the whole job list side by side. Printable.

Masters behind them: customer, product, rate, job description, scope, terms, payment terms, employee, vendor — each transaction stores the rate used.

Not everything happens in the office

The same ERP on site — mobile and tablet

Field app home for the Site Inspector: today's work and my jobs Site visit measurement with multiple area lines Site photos with categories Daily update: labour by worker with overtime

Site visits — measurements, condition, photos, scope, readiness.

Job execution — daily progress, labour and overtime, materials used, issues, photos.

Inspection and completion — checklist, snags, client sign-off.

Large touch targets, minimal typing, one task per screen, works offline and syncs later.

Not a separate mobile system. Same data, same rules — a simpler field experience.

A Site Inspector signs in on the phone, captures the visit or the day's work, and it is on the web ERP the moment it syncs — no re-typing in the office.

Why one ERP and not ten modules

One Job Card, and every department knows what it needs to know

Job Card created by Operations

Inventory knows what materials are required and issues them.

Procurement knows what has to be purchased.

Finance knows the commitment, the cost and the invoice.

HR / Payroll captures the labour cost against the job.

Sales sees the project status for its customer.

Management sees estimated vs actual cost.

Current profitability of the job

The value is not in having ten different modules.

The value is that they are connected around the same business transaction.

Same customers, jobs, transactions, approvals, costs and reporting — one record, seen from each department's workspace.

Department workspaces already exist in the prototype as optional role views — the same records seen from Finance, HR, Procurement, Stores and Management.

Dark = the operational core built first. White = supporting areas connected progressively. Light blue = views on the same data.

How we position the solution

Three layers, one set of data

Layer 3

Management

Revenue, projects, costs, receivables and payables, profitability, sales performance, operational performance, reports and audit.

Layer 2

Business operations

Web ERP: sales, estimation, quotation, job cards, procurement, inventory, finance, HR and payroll, approvals.

Layer 1

Field

Mobile and tablet: site visits, measurements, photos, execution, materials, labour, inspection, completion.

Nothing is re-entered between layers — a site entry becomes an operations record and a management number.

What we would like to confirm with you

Your process decides the details

On the core flow

  • Which details are mandatory before a job can be quoted (we assumed about seven)
  • Who approves a quotation, and at what margin it needs approval (we used 15%)
  • Labour rate card: by category, or by individual worker
  • Payment terms: captured at the site visit, or by the office
  • What the client link should allow: approve, negotiate, download

On the supporting areas

  • Finance: how deep, and when to transition from Tally
  • HR and payroll: attendance, overtime, payroll, what else
  • Procurement: simple PO flow, or vendor quote comparison
  • Assets and fleet: equipment on jobs only, or a full register
  • Zoho or other tools that must stay connected

Everything marked as assumed in the prototype is a placeholder until Bozooq confirms it.

Hands-on

Now, the working prototype

Built on our current understanding of the Bozooq process and the material shared with us. Demo users: Owner / GM, Co-ordinator, Sales, QS / Operations, Accounts, Store and a Site Inspector on the field app.

Everything shown in this deck comes from this prototype. We open it now and walk one job through: enquiry, site visit, estimate, quotation, LPO, Job Card, execution, invoice, final analysis — and the same job from the field app.

▶ Launch the live prototype (inside this file)

Prototype sign-in with the Bozooq demo users

Click the image or the button to run the prototype full-screen. Sign-in: the Bozooq users first; the field app opens from the same screen; other role views are optional.

Moving forward together

Built around the way Bozooq works — not the other way round

1 · Validate

Your feedback on today's journey: what feels right, what needs to change, what is missing.

2 · Refine

Update the prototype and agree the operational workflow as the foundation.

3 · Connect

Progressively connect finance, procurement, inventory, HR, assets and management reporting around the core.
